Preparing a Patient for Medical Transport — A Practical Guide for Families

When a patient needs to be transported to a hospital, a diagnostic clinic, or home after a hospital stay, thorough preparation makes the difference between a comfortable transfer and a stressful journey. NucleusMED crews — holding a sanitary authorisation from DSP Brașov and an ANMDMR approval — carry out hundreds of medical transports every year across Brașov and nationwide. This guide shows you exactly what to prepare before the private ambulance arrives at your door.

Medical emergencies? Call 112 — a free public service. NucleusMED provides exclusively private, scheduled, and paid medical transport for stable or semi-stable patients who are not in immediate danger.

1. Medical Records — Essential Documents

Before anything else, gather the relevant medical documents and place them in a dedicated envelope or folder:

  • Hospital discharge summary (if the patient is coming from a hospital or clinic)
  • Medical referral letter from the treating physician, including diagnosis and transport recommendations
  • National identity card of the patient
  • European Health Insurance Card (if applicable)
  • Private insurance policy (if the patient has one)
  • Complete medication list — names, doses and administration schedule

These documents allow the crew to quickly assess the patient's condition and handle any unforeseen situation during the journey. Hand them over at pick-up — do not leave them in the luggage compartment.

2. Medications — Correct Preparation and Handling

What to Prepare

Ensure a sufficient supply of medications for the entire duration of the trip, plus a safety reserve. Clearly label each box or vial with the patient's name, medication name, and dose.

  • Cardiac medications, anticoagulants, insulin — keep them within reach, not in the boot; some require temperature control
  • Injectable medications or IV drips — notify the crew at the time of booking; NucleusMED ambulances are equipped with an IV infusion set and a full medical kit
  • Inhalers or nebulisers — keep these accessible inside the medical compartment, not packed away

Allergies and Drug Interactions

Inform the crew of any confirmed drug allergies and any treatments administered in the past 24 hours. This information may be critical if a complication arises during transport.

3. Personal Medical Equipment

If the patient uses their own medical devices, prepare them carefully:

  • Portable oxygen concentrator or oxygen cylinders — check the oxygen level before departure; NucleusMED ambulances are equipped with medical oxygen, but notify us in advance if the patient requires a high flow rate
  • Portable suction device — ensure it is charged and functional
  • Urinary catheter / Foley catheter bag — positioned correctly for horizontal transport
  • Anti-pressure sore mattress / therapeutic pillow — useful for longer journeys or patients at risk of pressure sores

Let us know at booking if the patient requires special equipment so we can assign the right ambulance configuration. See our services for details on available equipment.

4. Clothing and Physical Comfort

Dress the patient comfortably, with easy access to monitoring areas:

  • Sleeve that rolls up easily for blood pressure cuff and IV access
  • Accessible finger for pulse oximeter
  • Avoid clothing with large metal clasps if the patient will undergo imaging (CT, MRI) shortly after transport
  • Non-slip shoes or slippers if the patient can still take a few steps
  • Blanket or warm jacket — especially in cold seasons; the medical compartment is climate-controlled, but transferring to the stretcher outdoors can quickly chill a vulnerable patient

5. Preparing the Home for Crew Pick-Up

The crew will arrive with a stretcher or wheelchair. Make sure the path from the home to the ambulance is completely clear and safe:

  • Move furniture blocking corridors or doorways
  • Roll up rugs and clear items from the floor
  • Open all doors wide — including the front door and the patient's room
  • Reserve the lift if you live on an upper floor — if the lift is small, let us know; we have staircase evacuation techniques
  • Free up a parking space as close to the entrance as possible — a stretcher cannot travel long distances on a pavement

A responsible adult must be present at the home to sign the documents and hand over the medical records.

6. What to Tell the NucleusMED Crew

At the time of booking and at pick-up, the crew needs several key pieces of information:

Information Why It Matters
Primary diagnosis and associated conditions Determines equipment brought and transport protocol
Level of mobility Dictates stretcher type — flat, semi-reclined, seated
Level of consciousness and cooperation Prepares crew for behavioural management
Confirmed drug allergies Safety in case of emergency intervention during transport
Recently administered medications Prevents interactions with any emergency medications
Treating physician contact details Coordination in case of complications

Open communication with the crew is the foundation of quality medical transport. NucleusMED staff are trained to treat every patient with professionalism, respect, and empathy.

7. Transport with a Companion

NucleusMED ambulances allow one companion (a relative or carer) in the medical compartment. A companion is especially recommended for:

  • Patients with cognitive difficulties or anxiety
  • Paediatric patients (a companion is mandatory)
  • Long-distance transports (inter-city or international)
  • Patients who cannot communicate verbally

The companion can hold the patient's hand, communicate with the crew, and sign documents at the destination. Confirm seat availability when booking.

8. How Far in Advance Should You Book?

We recommend booking at least 12–24 hours in advance to ensure the right crew and configuration are available. For more complex transports (oxygen therapy, immobilised patients, international transport), please book at least 48 hours ahead.

Same-day discharge? Call us directly — we do our best to respond quickly. See our pricing and FAQ pages for details on costs and the booking procedure.

Conclusion

Careful preparation — a complete medical file, medications within reach, a clear path from the home, and open communication with the crew — transforms medical transport from a stressful experience into a safe, comfortable, and efficient transfer. NucleusMED is with you at every step, from pick-up to patient handover at the destination.
